After an event concludes, the easiest mistake to make is not "how many boxes are left," but mixing uncollected, pending, and discrepancy items back into the same shipping carton. If you only look at the total without preserving the status and version details, it becomes difficult the next day to determine which can be reissued and which require supplier verification. Define Three Statuses: Uncollected, Pending, and Unidentified Source

Uncollected items are gift boxes where the distribution record is incomplete, the packaging remains intact, and the version is identifiable. Pending items (anomalies) are gift boxes with crushed boxes, loose shrink wrap, or potentially incorrect items or versions that have not yet been determined by the person-in-charge. Unidentified source items are those for which the box number, batch, version, or original labeling cannot be verified. These three categories should not be lumped together as "remaining stock."

According to Article 7 of the "Cosmetic Hygiene and Safety Act" from the Laws & Regulations Database of the Republic of China, cosmetic packaging or containers must be labeled with the product name, purpose, usage, storage methods, full ingredients, precautions, manufacturer information, date or shelf life, and batch number. Articles 15 and 16 also address products of unidentified source or expired shelf life. Corporate organizers do not need to make legal determinations on-site, but when source, batch number, or valid information cannot be confirmed, distribution should be stopped immediately and the supplier asked for clarification. 6-Step Handover Process After a Soap Gift Box Event

1. Freeze the final distribution count

Once the end of distribution is announced, retain the last distribution list, scan records, or manual tally sheet; do not continue to replenish while counting. Separate items already distributed, uncollected, on-site displays, spares, and pending items to avoid double-counting the same box.

2. Separate by status, do not rely on memory for labeling

Use physical areas or different cartons to separate complete uncollected, pending, and unidentified source items. Identification marks should only be used on the outer box or containment; do not cover or remove original product labeling. If still at the event venue, avoid mixing these with trash, recyclables, or personal packages.

3. Create minimum traceable records

For each category, record at least the date, event name, box number, box count, version, discovery location, photos, and person handling. 4. Store according to final labeling

Return complete uncollected items to a clean, manageable location. Storage conditions should adhere strictly to final product labels and supplier confirmation; do not apply shelf lives from other brands or batches. 5. Decide on reissue, return, retention for confirmation, or other processing

Complete uncollected items can be arranged for reissue based on the list and organizational policy; pending items should first be reviewed by the project manager or supplier before deciding whether they can be used, repackaged, returned, or handled otherwise. Do not assume the soap is unsafe just because of a dented box, and do not donate items when the source or labeling is unclear.

6. Sign off after stock-take consistency

The handover form should clearly state "where the physical stock is, who is responsible, the next decision date, and who is pending for reply." Have a second person verify the box count and status before sealing, and reconcile it against the original quantity, spares, and shipping plan. If there is a discrepancy, leave it as an outstanding item; do not guess numbers to balance the account.

Actual Scenario: Closing Inventory for a 500-Gift Event

The following is an example plan, not a specific LOX client case. An enterprise prepared 500 gift boxes; at the end of the event, the records showed: 462 distributed, 28 complete uncollected, 7 pending, and a 3-unit discrepancy. The organizer did not put all 38 units back into the "remaining stock" box, but instead separated them into three streams:

  • 28 units are arranged for reissue based on the uncollected list, with documented storage and reissue deadline.
  • 7 units are photographed, numbered, and pending confirmation of packaging or item quality.
  • 3 units are reconciled against distribution sheets, display areas, supply boxes, and multi-location handover records.

The event is only truly closed when the four numbers sum up to the original total, and every category has a custodian and a next step.

A Handover Form Needs at Least 8 Fields

Suggested fields: Event Name, Date, Box Number, Status, Quantity, Version or Batch ID, Storage Location, Parties involved in handover, and Deadline for next step. This form is not meant to increase administrative burden, but to ensure that the person taking over the next day does not need to unpack everything to guess.

Can uncollected soap gift boxes be kept for the next event?

Do not assume so. First verify that the outer packaging is intact, the version and labeling are clear, and the storage conditions and expiry dates are valid. Then, have the project manager or supplier confirm future usage.

Are boxes with dents automatically considered anomalous?

They can be listed as "pending," but this does not mean the soap inside is unusable. Record the status of the box, inner lining, shrink wrap, and soap, then judge according to agreed acceptance standards.

Can items of unidentified source be reissued if they look normal?

Not recommended. If the source, batch, version, or necessary labeling cannot be confirmed, they should be sealed and verified with the supplier or project manager.

Must I take photos of every box after the event?

Complete uncollected items can be recorded by box number and quantity; for pending items, it is recommended to number each, and take photos of the whole, close-up, and outer box to facilitate remote assessment.

Who decides on reissues or returns after the handover is complete?
